How to take orders on WhatsApp without the mess
To take orders on WhatsApp smoothly, share one menu link with prices, ask customers to send every order in a fixed format, take payment by UPI, confirm each order with a short message, and keep a daily list of what to prepare. Here is how to do each step.
Step 1: Use WhatsApp Business, not your personal chat
The free WhatsApp Business app gives you a business profile, quick replies, labels and away messages. Keep a separate number for orders if you can, so family chats and orders don’t get mixed up.
Step 2: Share one menu link instead of photos
Photos of a price list get lost in chats and go out of date. One link with your products, options and prices answers most questions before the customer even messages you. You can make one with PaasKart, or start with the catalog in WhatsApp Business.
Step 3: Ask for the same order details every time
A fixed format means fewer messages and fewer mistakes. Ask for:
- Items and quantity
- Options, like weight, size or eggless
- Date and time slot
- Delivery address, or pickup
- Name and phone number
When a customer orders from a PaasKart link, this message is filled in for them. It looks like this:
New order PC-1043 · Priya’s Cake Studio 1 × Chocolate Truffle Cake (1 kg, eggless, “Happy Birthday Riya”) · ₹1,310 Delivery: ₹50 Total: ₹1,360 📅 Tomorrow, 6 PM to 9 PM 📍 B-12, Shanti Kunj Society, MG Road 💳 Advance ₹680 by UPI · balance on delivery
Step 4: Take payment by UPI
Share your UPI ID or a QR code with the amount. For custom orders, ask for an advance and share your cancellation rule at the same time. Check the payment in your UPI app before you confirm.
Step 5: Confirm every order in one message
Send a short confirmation with the order number, items, date and amount. Use WhatsApp Business labels like New, Confirmed and Delivered to keep track of each chat.
Step 6: Keep a daily order list
Each morning, list what to prepare and deliver today. PaasKart makes this list for you from your orders, including notes like the message on a cake.
Step 7: Bring customers back
Send a friendly “order again” message to customers who have not ordered in a while, and festival offers to your regulars. Send them only to people who are happy to hear from you.
